Circle One Project is a brand operated by Ray Brown Group Inc. a federally incorporated Canadian corporation, located at 5100 Anderson Way, Vernon, BC V1T 0C4, Canada. This Privacy Policy explains how we collect, use, and protect your personal information, in accordance with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA).
2. Information We Collect
Information you provide directly:
- Name, email address, and application responses when you apply for membership
- Billing and payment information when you subscribe or make a purchase (processed by our third-party payment provider; we do not directly store full payment card details)
- Content you post within Spaces, comments, and messages
- Profile information you choose to add, including a photo
Information collected automatically:
- Basic technical information (IP address, browser type, device information) for security and site functionality
- Cookie data, as described in our Cookies Policy
3. How We Use Your Information
We use your information to:
- Review and process membership applications
- Provide access to the Platform and manage your subscription
- Communicate with you about your account, approval status, and Platform updates
- Improve the Platform and understand how it’s used
- Protect against fraud, abuse, and security threats (including through tools like Cloudflare Turnstile)
We do not sell your personal information to third parties, and we do not use your data to serve you third-party advertising.
4. Third-Party Services
We use a small number of third-party services to operate the Platform, each of which may process limited personal data on our behalf:
- Payment processing (via FluentCart and its connected payment processor) for handling subscriptions and purchases
- Email and CRM tools (FluentCRM) for membership communication
- Bot and spam protection (Cloudflare Turnstile) for securing login, application, and checkout forms
- Hosting infrastructure, to keep the Platform running
Each of these providers has its own privacy practices, and we select providers who maintain reasonable data protection standards.
5. Data Retention
We retain your personal information for as long as your account remains active, and for a reasonable period afterward as needed for legal, accounting, or legitimate business purposes. If your application is declined, we retain your application information for a limited period in case you choose to reapply, after which it is deleted.
6. Your Rights
Under PIPEDA, you have the right to:
- Access the personal information we hold about you
- Request correction of inaccurate information
- Request deletion of your information, subject to legal or contractual retention requirements
- Withdraw consent for certain uses of your data, where applicable

7. Data Security
We take reasonable technical and organizational measures to protect your personal information, including secure payment processing and bot/spam protection on sensitive forms. No system is completely secure, and we cannot guarantee absolute security of information transmitted online.
8. Children’s Privacy
Circle One Project is not directed at, and does not knowingly collect information from, individuals under the age of 18.

We may update this Privacy Policy from time to time. Material changes will be reflected by an updated “Last updated” date at the top of this page.
